Position Overview

We are seeking a highly organized, proactive, and service-oriented Legal Executive Assistant to provide comprehensive support to attorneys and practice groups in a fast-paced law firm environment. This role goes beyond traditional administrative support and serves as a key partner in managing attorney workflows, client communications, business development activities, and day-to-day practice operations.

The ideal candidate is polished, detail-oriented, and capable of balancing competing priorities while maintaining a high level of professionalism and confidentiality.

Key Responsibilities

  • Provide high-level administrative and executive support to attorneys and practice group leaders.
  • Coordinate complex calendars, meetings, conference calls, client events, and travel arrangements.
  • Manage attorney schedules and assist with prioritization of deadlines, projects, and client commitments.
  • Draft, edit, proofread, and format correspondence, reports, presentations, engagement materials, and other legal and business documents.
  • Prepare expense reimbursements, billing-related documentation, and matter-opening materials.
  • Serve as a primary point of contact for clients, attorneys, court personnel, vendors, and other business partners.
  • Monitor and track assignments, ensuring deadlines and deliverables are completed accurately and on time.
  • Coordinate with internal departments including finance, marketing, recruiting, IT, and operations as needed.
  • Support business development efforts through the preparation of pitches, client presentations, contact management, and event coordination.
  • Organize and maintain electronic and physical files in accordance with firm policies and client requirements.
  • Assist with document production, signature collection, filings, and other administrative tasks related to legal matters.
  • Facilitate the onboarding of new attorneys, clients, and matters.
  • Handle sensitive and confidential information with discretion and sound judgment.
  • Contribute to special projects and operational initiatives that support attorney productivity and client service.

Qualifications

  • 5+ years of experience supporting attorneys, executives, or senior professionals in a law firm or professional services environment.
  • Strong understanding of legal office procedures and document management practices.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • Ability to exercise independent judgment and anticipate attorney and client needs.
  • Experience managing multiple priorities in a deadline-driven environment.
  • Professional demeanor and commitment to delivering outstanding client service.
  • Bachelor’s degree or equivalent professional experience preferred.

Preferred Skills

  • Experience supporting partners, shareholders, or practice group leadership.
  • Knowledge of billing systems, expense reporting platforms, and document management software.
  • Background coordinating client-facing events, meetings, or business development activities.
  • Ability to work collaboratively across departments and support teams.
  • Strong problem-solving skills and attention to detail.
