Executive Assistant – West Coast

Role & Responsibilities
The Executive Assistant will provide high-level administrative support to one of two Co-Founders while also planning and overseeing external events throughout the year in partnership with the Growth & Partnerships and Operations teams.
The ideal candidate has exceptional organizational and communication skills, the ability to multitask effectively, and a proactive, solution-oriented approach. This individual is a natural relationship builder who engages seamlessly with internal team members, portfolio companies, and external partners. With strong interpersonal instincts and sound judgment, they navigate stakeholder dynamics with professionalism, discretion, and a service-oriented mindset.
This is a remote role based in Los Angeles, CA, with an expectation of travel to Pasadena approximately once per month. The position also requires travel to New York for internal team events (approximately three times per year) and periodic travel within California to lead on-site events hosted by the firm.
Key Responsibilities
- Calendar Management: Proactively manage calendars, ensuring all appointments, meetings, and travel arrangements are organized efficiently
- Travel Coordination: Plan and coordinate domestic and international travel, including flights, accommodations, itineraries, car service, and logistics
- Communication Liaison: Serve as the primary point of contact between the executive and internal/external stakeholders, handling inquiries with sensitivity and professionalism
- Meeting Preparation & Strategic Support: Organize meetings, prepare materials, and ensure follow-up on action items; over time, attend calls, capture concise notes, and synthesize key takeaways
- Confidential Support: Handle sensitive information and documents with the highest level of discretion and confidentiality
- Time Management: Act as a trusted gatekeeper and ambassador for the executive, managing inbound requests with sound judgment and poise
- Expense Management: Prepare and submit expense reports, ensuring accuracy and compliance with company policies
- In-Person Event Support: Provide administrative support for in-person events, including invitation and RSVP management, guest speaker coordination and travel, vendor selection and management (venue, food, beverage, merchandise), meeting scheduling, printing materials, coordination with co-host firms, and day-of onsite execution and troubleshooting
- Investor Relations Support: Coordinate scheduling between Limited Partners and internal team members during high-volume periods; monitor the Investor Relations email inbox
- Light personal support is expected
Who You Are

- Highly organized with strong follow-through, able to juggle multiple projects, deadlines, and priorities while keeping stakeholders informed
- Possess a “Get Things Done” mentality with a team-first attitude; willing to roll up your sleeves and handle tasks big and small
- Agile, proactive, and solution-oriented, with the ability to anticipate challenges and independently drive thoughtful solutions
- Intellectually curious, collaborative, and excited to work cross-functionally
- Operate with the highest level of integrity
- Passionate about the firm’s mission, with empathy for the populations served and the entrepreneurs supported
Experience
- Strong preference for prior experience supporting CEOs or Managing Partners within law, investment, consulting, or banking firms
- Minimum of 12 years of experience
- Strong technical skills, including proficiency in Google Workspace, Microsoft Office (Word, Excel), Adobe, Zoom, Slack (Gatsby a plus)
- Bachelor’s degree preferred
