Beacon Hill Associates is seeking a Facilities Coordinator to support daily building operations and coordinate facilities services within a professional office environment.


Assignment Details

Hours: Monday-Friday, 8:00 AM – 5:00 PM EST with a 1-hour lunch
Pay Rate: $25/hour
Dress Code: Business professional / professional business casual


Position Summary

The Facilities Coordinator supports daily building operations by coordinating facilities services, monitoring vendor performance, and assisting with operational and financial processes. This role works closely with internal stakeholders, building management, and external vendors to ensure facilities tasks are completed accurately and on time. The position also supports site inspections, reporting, and operational procedures to maintain a safe and well-maintained workplace.


Day-to-Day Responsibilities

Facilities Operations & Vendor Coordination

  • Support and coordinate a small team of multi-skilled facilities operatives
  • Develop working relationships with internal stakeholders, property management, and service vendors
  • Assist with managing on-site contractors to ensure work is completed according to standards
  • Assist in sourcing and coordinating vendors and service providers when needed

Financial & Administrative Support

  • Support financial processes related to facilities operations
  • Manage purchase orders within internal financial management systems
  • Assist with monthly accrual reporting and monitoring financial trackers
  • Support preparation of operational reports and documentation as needed

Building Oversight & Compliance

  • Conduct site inspections, building assessments, and routine operational audits
  • Support implementation of building safety procedures and operational protocols
  • Maintain facilities in clean, safe, and functional condition
  • Assist with disaster recovery and business continuity planning processes
  • Follow established incident reporting and escalation procedures

Performance & Reporting

  • Support facilities reporting and operational projects as required
  • Assist in maintaining Key Performance Indicator (KPI) and Service Level Agreement (SLA) targets

Candidate Qualifications

  • Bachelor’s degree in a related field preferred
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook)
  • Strong organizational and communication skills
  • Ability to work independently and collaboratively within a team environment
  • Self-motivated with a proactive and professional approach
  • Ability to work effectively in a fast-paced environment and manage multiple priorities
