Our client is seeking an exceptional Executive Business Partner (EBP) to support a senior member of our leadership team. This is not a traditional administrative role: it is a high-trust, high-impact position for a seasoned professional who operates as a true partner to a busy, high-profile executive.
The right candidate combines years of executive support experience with emotional intelligence, discretion, and business acumen to anticipate needs before they arise, represent the executive with confidence internally and externally, and drive a demanding and complex schedule with precision. This role would suit someone who thrives in a fast-paced, dynamic environment, who has a strategic mindset and lengthy experience working with senior executives in global organizations.
Key Responsibilities & Duties:
Executive Partnership & Communications
- Serve as a trusted extension of the executive – acting with full understanding of their priorities, communication style, and decision-making preferences
- Compose and manage high-stakes internal and external correspondence with clarity, professionalism, and an instinct for tone
- Liaise confidently with senior stakeholders including LPs, portfolio company leadership, co-investors, and board members on behalf of the executive
- Prepare briefing materials, meeting agendas, background research, and read-aheads to ensure the executive is always fully prepared
Calendar & Travel Management
- Manage the executive’s time with sound business judgment, prioritizing meetings, travel, and preparation based on strategic importance and business impact rather than order of requests
- Own and manage an exceptionally complex, fast-moving calendar spanning multiple time zones, frequent domestic and international travel, and competing priorities
- Coordinate all logistics for international travel – flights, ground transportation, accommodations, and detailed itineraries – with anticipation of the unexpected
- Proactively identify and resolve scheduling conflicts, and maintain clear situational awareness of the executive’s priorities across days, weeks, and months
- Prepare comprehensive travel packages including context on meetings, time zone guidance, and real-time itinerary updates
Stakeholder & Relationship Management
- Liaise confidently with senior stakeholders – including LPs, portfolio company leadership, co-investors, and board members – on behalf of the executive
- Serve as a key interface with global leaders, building and maintaining trusted relationships with C-suite executives, institutional investors, and other senior stakeholders
- Manage correspondence and all external touchpoints with professionalism, protocol awareness, and discretion
- Support coordination of LP-related meetings, conferences, annual meetings, and roadshows with attention to protocol, relationship history, and confidentiality
- Manage correspondence and logistics related to investor communications with professionalism and discretion
- Maintain accurate investor contact records and ensure all touchpoints are tracked and followed up on appropriately
Operations & Project Management
- Track and drive action items, deliverables, and follow-through across multiple workstreams – ensuring nothing falls through the cracks
- Coordinate board-level meeting preparation including scheduling, materials compilation, AV/videoconference logistics, and guest management
- Manage expense reporting, reconciliations, and invoice processing in a timely and accurate manner
- Identify process inefficiencies and proactively recommend and implement improvements
- Partner closely with a collaborative team of Executive Assistants and Business Partners across the firm
Requirements:
- 7+ years of executive support experience directly supporting C-level or senior investment professionals in a high-intensity global environment
- Demonstrated experience managing a demanding, international travel schedule across multiple time zones
- Demonstrated business acumen, including the ability to apply judgment to executive communications and senior‑level stakeholder interactions.
- Familiarity with LP/investor relations environments is strongly preferred – you understand the protocols, discretion, and relationship sensitivities involved
- Exceptional written and verbal communication skills; your written work is polished, precise, and always on-brand
- High emotional intelligence – you read the room, adapt your approach, and build genuine trust with executives and stakeholders at all levels
- Extreme attention to detail; you are the person who catches the error before it becomes a problem
- The ability to operate at speed without sacrificing accuracy – you move fast and get it right
- Comfort with ambiguity and shifting priorities; you recalibrate quickly and remain steady under pressure
- Proficiency with Microsoft Office Suite, and travel/expense management tools; experience with CRM systems/AI a plus
