Beacon Hill Associates is seeking an Administrative Coordinator to support a professional office environment through front desk operations, executive support, office administration, and organizational coordination. Assignment Details
- Hours: Monday-Friday, 8:30 AM – 5:00 PM
- Pay Rate: $21.63-$23.08/hour
- Start Date: ASAP
- Work Environment: Fully onsite during the first 90 days, transitioning to a hybrid schedule thereafter
- Parking: Free onsite parking
- Travel: Occasional travel may be required for meetings, conferences, or special events
- Equipment: Provided onsite
Position Summary
The Administrative Coordinator serves as a central point of contact for office operations, visitor management, executive support, communications, mail services, inventory management, and administrative projects. This role supports multiple departments while helping ensure the office operates efficiently and professionally. The position requires strong organizational skills, discretion, flexibility, and a customer-focused mindset.
Day-to-Day Responsibilities
Front Desk & Office Operations
- Manage the front desk and serve as the first point of contact for visitors and guests.
- Monitor and respond to shared organizational email inboxes.
- Manage incoming and outgoing mail, shipments, and package tracking.
- Coordinate office supplies and inventory management.
- Assist with office setup, organization, and operational projects.
- Support office opening and closing procedures as needed.
Executive & Administrative Support
- Provide administrative support to senior leadership, including scheduling, correspondence, presentations, and meeting preparation.
- Coordinate meeting logistics, agendas, materials, and follow-up communications.
- Assist with travel arrangements, hotel bookings, and event coordination.
- Support special projects and organizational initiatives.
Human Resources & Records Management
- Assist with onboarding preparation for new hires.
- Maintain confidential files, records, and documentation.
- Support internship and employee engagement programs.
- Assist with various administrative functions related to organizational operations.
Event & Program Coordination
- Coordinate logistics for meetings, conferences, volunteer visits, and special events.
- Prepare materials and resources for organizational programs.
- Support communication and administrative needs across multiple departments.
Ideal Candidate Profile
- Administrative professional seeking a long-term opportunity in a collaborative and professional office environment.
- Associate degree preferred or equivalent combination of education and experience.
- Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, and mail merge functions.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- High level of professionalism and confidentiality.
- Ability to manage multiple priorities and deadlines.
- Customer-service oriented with a positive and flexible attitude.
- Valid driver’s license and reliable transportation required.
- Ability to lift and move items up to 50 pounds.
- Comfortable working in both a desk-based and active office environment, including frequent stair usage.
- Experience with membership organizations, volunteer organizations, or collegiate organizations is a plus.
- Adaptable, dependable, and eager to contribute to a team-oriented workplace.
