Overview

The Payroll Tax Analyst plays a central role on the Payroll team, overseeing payroll tax compliance across U.S. jurisdictions and ensuring all filings and payments are handled accurately and on time. This role manages payroll tax activities related to employee compensation, including accurate filings, timely submissions, and any necessary adjustments or amendments. The position also supports general ledger reconciliations for both U.S. and international accounts and partners closely with Payroll, HR, Accounting, and external vendors.

Responsibilities

  • Manage payroll tax setup and maintenance across systems and vendors, including new jurisdiction registrations and general ledger mapping
  • Maintain accurate payroll tax records to support reconciliations and reporting
  • Review and validate vendor-prepared tax filings and payments (federal, state, and local), including Forms 941, W-2, and 940
  • Reconcile payroll tax balances and vendor collections
  • Partner with Benefits on payroll-related deductions such as state disability and family leave programs
  • Support internal and external payroll tax audits and prepare reports for stakeholders and government agencies
  • Monitor regulatory changes and ensure systems and processes remain compliant, including periodic audits of Workday
  • Partner with Global Mobility and Payroll teams to manage tax requirements for relocating and expatriate employees
  • Research and respond to tax agency notices and coordinate tax rate updates
  • Serve as the primary point of contact for payroll tax vendor, OneSource Virtual, managing day-to-day cases and escalations
  • Collaborate with HR Operations to resolve employee data discrepancies that may impact tax filings
  • Assist with unemployment tax rate updates and related calculations
  • Support general ledger reconciliations for U.S. and international accounts
  • Respond to employee inquiries related to W-2s, tax withholdings, and year-end reporting
  • Provide support to the Payroll team and assist with projects, including mergers and acquisitions

Qualifications

  • 4-5 years of multi-state payroll experience
  • Strong knowledge of U.S. payroll tax laws and regulations
  • Experience with Workday and OneSource Virtual preferred
  • Strong Excel skills, including pivot tables and data analysis
  • CPP, FPC, or similar certification preferred
  • High attention to detail and strong organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong problem-solving and analytical abilities
  • Ability to handle sensitive information with discretion
  • Experience with ServiceNow or Oracle is a plus
