We are seeking a detail-oriented Payroll Specialist to support payroll operations for a growing nonprofit organization. This role is responsible for accurately processing semi-monthly payroll, maintaining payroll records, ensuring compliance with payroll regulations, and serving as a key resource for employee payroll inquiries. The ideal candidate will have strong Paycom experience, excellent Excel skills, and a solid understanding of California payroll laws.

Key Responsibilities

  • Process semi-monthly payroll accurately and on schedule using Paycom.
  • Review timesheets, earnings, deductions, taxes, and benefit withholdings for accuracy.
  • Maintain employee payroll records and ensure confidentiality of sensitive information.
  • Audit payroll data and resolve discrepancies in a timely manner.
  • Process new hires, terminations, leaves of absence, and compensation changes.
  • Ensure compliance with federal, state, and local payroll regulations, including California wage and hour laws.
  • Prepare payroll-related documentation and assist with audits and year-end payroll activities.
  • Partner with HR and Finance teams to ensure accurate payroll processing and reporting.
  • Provide training and support regarding timekeeping and payroll procedures.
  • Respond to employee payroll questions and requests professionally and promptly.

Requirements

  • Minimum 3 years of payroll processing experience for a small to mid-sized organization.
  • Experience processing multi-state payroll preferred; nonprofit experience a plus.
  • Hands-on experience with ADP, Paycor, or other payroll systems is a plus.
  • Strong knowledge of California payroll laws, payroll taxes, and wage and hour compliance.
  • Knowledge of the Fair Labor Standards Act (FLSA).
  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, and data analysis.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Highly organized, detail-oriented, and able to work independently.
  • Strong communication and problem-solving skills.
