A growing fund administration firm based in Richmond, VA is seeking a Financial Reporting Process Coordinator to join its financial reporting group. The firm provides outsourced services to registered investment advisors and fund managers across the U.S., supporting mutual funds, ETFs, and other registered investment companies across fund accounting, compliance, and administration.


About the role

This role sits at the center of the end-to-end reporting workflow, keeping documents moving, deadlines on track, and stakeholders aligned. The Coordinator works closely with auditors, legal counsel, compliance teams, fund advisors, and internal staff to ensure financial statements, regulatory filings, and related materials progress through review cycles accurately and on time.

Key responsibilities

  • Maintain and update production schedules and status trackers for financial statements, shareholder reports, and regulatory filings across multiple funds
  • Manage document routing and distribution between auditors, legal, compliance, fund advisors, and internal stakeholders
  • Collect, log, and route review comments; follow up to ensure feedback is addressed and escalate issues when appropriate
  • Maintain clean version control and document history across Word, Excel, and PDF files; ensure proper storage, labeling, and secure distribution
  • Support the fund administration team in meeting deadlines and reinforcing consistent process and document-control standards

Qualifications

  • Bachelor’s degree or equivalent experience in paralegal, compliance, or operations work
  • 2-5 years in a document workflow, legal or compliance review, or project coordination role
  • Strong proficiency with Microsoft Word, Excel, and PDF markup tools
  • Excellent communication skills and the ability to manage multiple deadlines without sacrificing accuracy
  • Self-directed and detail-oriented, with a genuine sense of ownership over recurring processes
  • Comfortable working with regulated documents and knowing when to escalate
  • Flexibility during peak reporting cycles

Nice to have

  • Paralegal background or exposure to financial services, compliance, or reporting environments
  • Experience with Workiva
