Our client, a global investment management firm with a location in Boston, is seeking an Executive Assistant Floater to join their team on a 6+ month contract. This hybrid role is 4 days onsite, one day remote, and has hours from 8AM-5PM. It is compensating up to $32/hour, depending on experience. Responsibilities:
- Provide proactive calendar management for multiple busy executives
- Coordinate domestic and international travel arrangements
- Manage logistics for meetings, client visits, and daily team sessions
- Prepare detail-oriented materials including reports, presentations, and meeting packets
- Handle expense reporting, mail, filing, and general administrative tasks
- Support special projects, events, and visits as needed
- Build strong working relationships with internal and external partners
Qualifications:
- Minimum 2 years of administrative experience in a professional services environment; experience in investment management a plus
- Strong Outlook skills and direct calendar management experience required
- Advanced proficiency in MS Office and comfort learning new technology
- Highly organized with strong attention to detail, accuracy, and follow-through
- Excellent communication skills; polished, professional, and articulate
- Proactive, adaptable, reliable, and able to handle last-minute changes
- Ability to work in a fast-paced environment and meet deadlines
- Positive attitude, professional maturity, and ability to work both independently and collaboratively
