Our client is seeking a highly organized and detail‑oriented Executive Assistant to support the General Counsel and Head of Leasing at a real estate firm. This role requires strong judgment, excellent communication skills, and the ability to operate in the gray while keeping fast‑moving executives on track. Hours are 8:30am-5:30pm with light after‑hours email monitoring and the position is fully onsite five days per week.
Key Responsibilities:
- Provide high‑touch support to the General Counsel including intensive calendar management, travel coordination, board materials, invoice coding, and document preparation
- Manage calendar and travel for the Head of Leasing, ensuring timely reminders and keeping him on schedule
- Track follow‑ups, deadlines, PTO notes, and to‑do items, proactively connecting the dots across multiple workflows
- Liaise with paralegals and internal teams; assist with light personal tasks for the General Counsel as needed
- Support office operations including greeting guests, managing mail and FedEx, running the dishwasher, restocking supplies, and setting up conference rooms
- Assist the CEO’s EA with catering, audio‑visual setup, and general office coordination
- Resourcefully solve basic tech or facilities issues by finding and coordinating solutions
- Take meeting notes (as the role evolves), assist with spreadsheets and mail merges
Qualifications:
- 5-7+ years of administrative experience; open to strong candidates with slightly less if the personality fit is excellent
- Experience in professional services, finance, or real estate preferred
- Ability to operate in the gray, anticipate needs, and proactively manage up
- High attention to detail with strong follow‑through and the ability to work at a fast pace
- Strong communication skills; able to match the energy and urgency of the General Counsel
- Comfort navigating Microsoft Office applications and learning new systems
- Team‑oriented mindset and willingness to jump into all‑hands tasks
- Dedicated to an EA career; degree not required
Compensation/Benefits:
- Up to $100K-$125K base salary + paid overtime + discretionary bonus
