Our client is seeking a highly organized and detail‑driven Executive Assistant to support the Recruiting function at a global investment firm. This role requires exceptional scheduling ability, strong judgment, and the capacity to manage high‑volume recruiting workflows while ensuring an exceptional candidate experience. Hours are 8:00am-6:00pm with flexibility as needed, and the schedule is hybrid with three days in office (Tuesday-Thursday) and remote Mondays and Fridays.
Key Responsibilities:
- Coordinate high‑volume interview scheduling across multiple time zones (intake calls, multi‑round interviews, panels, and debriefs)
- Support recruiting leadership with calendar management, internal and external meeting coordination, and travel arrangements
- Serve as the main point of contact for interview logistics, partnering with candidates, internal interviewers, and external search firms
- Prepare agendas, materials, and follow‑up documentation for recruiting meetings
- Maintain accurate recruiting records, data, and documentation with complete confidentiality
- Assist with onboarding logistics, training sessions, and internal HR‑related preparation
- Prepare and reconcile expenses for recruiting activities and internal travel
- Support special projects, confidential initiatives, and cross‑team recruiting needs
Qualifications:
- Bachelor’s degree required
- 4-7+ years of Executive Assistant or Recruiting Coordinator experience in a high‑volume or fast‑paced environment
- Experience working in the executive search industry is highly preferred
- Proven experience scheduling complex interview processes across time zones
- Strong communication skills with the ability to work with senior stakeholders and candidates professionally
- Extremely organized and able to balance shifting priorities under pressure
- Discreet, reliable, and comfortable handling sensitive candidate and employee information
- Proficiency in Microsoft Office; familiarity with Workday Recruiter is a plus
