Our client is seeking a highly organized and detail‑oriented Executive Assistant to support three senior leaders within a fast‑paced real estate organization. This role requires exceptional judgment, strong communication skills, and the ability to manage complex scheduling and logistics across multiple executives. Hours are 9:00am-5:00/5:30pm, and the position is fully onsite five days per week.

Key Responsibilities:

  • Provide administrative support to three senior executives including heavy calendar management and multi‑time‑zone coordination
  • Manage incoming communications, triage requests, and track key follow‑ups to ensure timely completion of action items
  • Coordinate logistics for internal and external meetings, including scheduling, agendas, and presentation materials
  • Support monthly team‑wide meetings by preparing agendas, managing invites, and partnering with internal teams
  • Draft and format correspondence, documents, and presentations
  • Coordinate domestic and international travel, including flights, accommodations, transportation, visas, and detailed itineraries
  • Secure signatures and manage notary and tax‑related documentation for external advisors
  • Prepare and process expenses, invoices, and reimbursements
  • Maintain organized digital and physical filing systems and support special projects as needed
  • Represent executives professionally both internally and externally with strong communication and client‑facing presence

Qualifications:

  • Bachelor’s degree required
  • 5-7+ years of Executive Assistant experience supporting senior leaders in a fast‑paced corporate environment
  • Proven experience supporting multiple executives simultaneously
  • Strong calendar management skills with comfort navigating complex scheduling demands
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
  • Familiarity with collaboration systems such as Teams, Box, or OneDrive, and experience with expense platforms
  • Outstanding written and verbal communication skills
  • Highly organized, detail‑oriented, and capable of shifting priorities effectively

Compensation/Benefits:

  • Up to $90K-$115K base salary + discretionary bonus
