Our client is seeking a highly organized and discreet Executive Assistant to support a group of senior leaders within a fast‑paced investment environment. This role requires exceptional attention to detail, strong judgment, and the ability to manage shifting priorities across multiple stakeholders. Hours are 8:00am-5:00/5:30pm, with flexibility to support after‑hours needs as required. The position is fully onsite five days per week.
Key Responsibilities:
- Provide administrative support to ten executives ranging from Partners to Associates, prioritizing the needs of the most senior leaders
- Manage complex calendars, including international and multi‑time‑zone scheduling
- Coordinate domestic and international travel with support from a travel agency; prepare detailed itineraries and adjust plans as needed
- Process and reconcile expenses, ensuring accuracy and timely submission
- Serve as a gatekeeper by triaging emails, managing inboxes, and prioritizing requests
- Assist with Office Manager responsibilities including maintaining conference rooms, ordering and organizing lunches, and keeping the office neat and client‑ready
- Liaise with building reception to ensure seamless visitor access and meeting support
- Provide support for in‑person meetings including room setup, catering coordination, printing, and document preparation
- Assist senior staff with ad hoc tasks, confidential projects, and operational needs
Qualifications:
- 5+ years of Executive Assistant experience, ideally in finance or professional services
- Strong calendar management skills with comfort supporting multiple leaders simultaneously
- Professional communication skills with the ability to exercise sound judgment and maintain high discretion
- Highly organized with strong attention to detail and ability to manage competing priorities
- Comfortable balancing administrative and office‑operations responsibilities
- Tech‑savvy and proficient in Microsoft Office
- Strong ability to read the room, manage up, and adapt to senior leadership styles
- Degree not required; bilingual candidates welcomed
Compensation/Benefits:
- Up to $115K base salary + discretionary annual bonus
