Our client, an investment firm, is seeking a highly professional and exceptionally responsive Executive Assistant to support two senior leaders within a fast‑paced, high‑growth investment environment. This role requires strong judgment and excellent communication skills. Hours are 9:00am-6:00pm with flexibility as needed, and the position is fully onsite five days per week.

Key Responsibilities:

  • Provide executive‑level support to the Co‑Founder and the Head of Research, including heavy calendar management, confirmations, and precise scheduling
  • Coordinate complex domestic and international travel and prepare detailed itineraries
  • Manage inbox prioritization, respond quickly to communication, and confirm receipt of tasks, ensuring strong alignment with executive preferences
  • Serve as a point of contact for internal teams, external stakeholders, investors, partners, and clients
  • Assist with meeting preparation including agendas, materials, follow‑ups, and logistics
  • Maintain discretion while handling confidential information and high‑touch communication
  • Support expense reconciliation, track corporate and personal expenses, and streamline documentation
  • Collaborate with other internal assistants and cross‑functional partners to ensure operational consistency
  • Support special projects, Board‑related workflows, and research‑driven tasks as needed
  • Operate effectively in a startup environment with shifting priorities and fast decision cycles

Qualifications:

  • 10+ years of Executive Assistant experience; C‑suite support strongly preferred
  • Strong communication skills with the ability to maintain discretion and high professionalism
  • Highly organized with the ability to anticipate needs and manage urgent, time‑sensitive situations
  • Steady temperament with the ability to work in a fast‑moving, high‑expectation environment
  • Comfort working closely with senior leaders who expect quick confirmations and strong follow‑through
  • Background in finance, investment, life sciences, or high‑intensity professional services preferred
  • High EQ with the ability to read the room, adapt tone, and manage up effectively
  • Tech‑savvy with comfort using modern software and organizational tools
  • No bachelor’s degree required

Compensation/Benefits:

  • Up to $130K base salary + discretionary annual bonus
