Our client is seeking a friendly, proactive, and service‑driven Receptionist/Office Administrator to serve as the face of a corporate, professional environment. This role requires a warm presence, strong communication skills, and the ability to take ownership of front‑of‑house and office‑wide responsibilities. Hours are 8:30am-5:00pm with flexibility for earlier or later start times when needed for meeting setup. The role follows a hybrid schedule of four days onsite with Fridays remote, except for occasional investor meetings requiring in‑office presence.
Key Responsibilities:
- Serve as the front desk representative by greeting visitors, registering guests with security, and offering refreshments
- Manage three conference rooms including scheduling, setup, AV readiness, catering orders, and cleanup, always ensuring a client‑ready appearance
- Order and maintain office supplies, kitchen inventory, and weekly food deliveries; stock pantries daily and keep common areas tidy
- Coordinate birthdays, anniversaries, and internal celebrations including gifting and communication
- Assist with onboarding including workstation setup and ordering welcome materials
- Support six investment professionals with administrative tasks including calendar management, travel coordination, reservations, and expenses
- Assist with office logistics including mail distribution, package handling, shipping, scanning, and vendor coordination
- Proactively identify needs, ask questions, and offer suggestions to streamline daily operations
Qualifications:
- 1-2+ years of office experience within a corporate or professional services environment
- Strong communication skills, professional presence, and comfort interacting with senior stakeholders
- Highly organized with strong attention to detail and ability to anticipate needs
- Proactive, enthusiastic, and dependable; able to connect the dots and prevent issues before they arise
- Comfortable with hands‑on tasks including stocking, cleaning conference rooms, and organizing common spaces
- Degree strongly preferred
Compensation/Benefits:
- Up $95K base salary + discretionary annual bonus
