Our client is seeking a highly experienced, proactive Executive Assistant to support the Chairman and Chief Operating Officer within a global investment environment. This is a high‑visibility, fast‑moving role that requires exceptional judgment, strong communication skills, and the ability to operate as a trusted partner to two extremely busy senior leaders. Hours are 9:00am-5:00/5:30pm, fully onsite five days per week, with strong work/life balance and an exceptionally supportive culture.
Key Responsibilities:
- Provide day‑to‑day support to the Chairman and COO, including complex calendar management, prioritization, and high‑volume scheduling across global time zones
- Coordinate extensive domestic and international travel including itineraries, visas, accommodations, logistics, and ongoing adjustments
- Prepare and manage materials for board meetings, leadership sessions, and investor meetings
- Act as a key liaison for senior executives, board members, internal teams, and external stakeholders
- Draft and manage correspondence, communication, and follow‑ups with accuracy and discretion
- Serve as a strategic partner and gatekeeper, anticipating needs and proactively solving problems
- Support high‑level workflows while also rolling up sleeves for administrative tasks (printing, binding, reception backup, etc.)
- Manage expense reports through Concur
- Coordinate special projects, deadlines, and ad hoc tasks
Qualifications:
- 10-15+ years of Executive Assistant experience supporting C‑suite level executives
- Experience in a finance‑driven environment such as private equity, investment management, banking, or corporate finance
- Strong communication ability and comfort interacting with senior stakeholders
- Highly organized, resourceful, and able to manage competing priorities calmly and efficiently
- Strong financial acumen and ability to work with financial documents and board materials
- Advanced proficiency in Outlook, Word, Excel, and PowerPoint
- Comfortable with a “nothing is beneath you” approach and contributing to team‑wide needs
Compensation/Benefits:
- Up to $150K-$165K base salary + discretionary bonus
