Executive Assistant
Location: Dallas, TX (Fully Onsite)
Schedule: Monday-Friday, 9:00am-5:00/6:00pm (after‑hours availability as needed)
Compensation: $100,000+ DOE
Position Overview
A Dallas‑based commercial insurance organization is seeking a highly experienced Executive Assistant to provide direct support to the CEO in a fast‑paced, high‑expectation environment. This role is ideal for a polished, proactive professional who excels at managing complex schedules, coordinating travel, and anticipating executive needs with minimal direction.
This position requires someone with strong judgment, excellent follow‑through, and the ability to remain calm and professional under pressure. The role is fully onsite and offers long‑term growth potential within an early‑stage organization.
Key Responsibilities
Executive & Personal Support (70/30 split)
- Manage and maintain a high‑volume, constantly changing executive calendar
- Coordinate complex domestic and international travel, including detailed itineraries
- Provide proactive reminders, follow‑ups, and schedule preparation
- Serve as a trusted gatekeeper and primary point of contact for internal and external stakeholders
- Assist with limited personal scheduling needs as required
Office Management & Administrative Support
- Oversee day‑to‑day office operations to ensure a professional and efficient environment
- Coordinate vendors, office supplies, and facility needs
- Assist with meeting coordination, company events, and executive engagements
- Prepare correspondence, reports, presentations, and briefing materials
- Handle confidential and sensitive information with discretion
Qualifications
- Minimum 5+ years of Executive Assistant experience supporting C‑suite leadership
- Bachelor’s degree required
- Advanced proficiency with Microsoft Office Suite
- Exceptional organizational, multitasking, and prioritization skills
- Strong written and verbal communication abilities
- Comfortable working in a demanding, fast‑moving environment
- Thick skin, adaptable mindset, and ability to accept feedback constructively
Nice to Have
- Insurance or financial services industry experience
- Prior experience in a small office or early‑stage company
