Our client, a real estate-focused firm located in Manhattan is looking for a Long-Term Temporary Executive Assistant to join their team. This position will start as soon as possible with a one-month commitment and flex to extend. This will be in office 4 days with Friday work from home. Hours are of 9am-6pm with 1 hour of unpaid lunch. Compensation is up to $45/hr DOE.

Responsibilities:

  • Manage the CEO’s calendar and inbox with accuracy, foresight, and discretion
  • Coordinate internal and external meetings across time zones and competing priorities
  • Prepare briefing documents, capture detailed meeting notes, and track follow-up items to ensure timely execution
  • Handle travel booking, logistics, and itineraries for business engagements for CEO and executive team
  • Assist with presentation prep, document editing, and team communications
  • Assist the CEO with select personal tasks (scheduling, travel, correspondence, healthcare invoices, personal appointments, events)
  • Handle confidential information with the highest level of professionalism and discretion
  • Oversee day-to-day office operations, vendor management, office supplies, and snacks, ensuring seamless experience for all employees
  • Support finance and accounting workflows, including expense reporting and invoice tracking
  • Coordinate firm-wide events, meetings, and team-building activities
  • Liaise with IT, facilities, and external service providers as needed
  • Manage IT inventory
  • Assist with HR tasks (onboarding, offboarding, ADP requests)
  • Help implement and improve internal systems and processes including CRM, document management systems, and expense reporting systems

Qualifications:

  • 5+ years of expereince supporting an executive with Real Estate industry experience a plus
  • Degree preferred
  • Extremely responsive and able to work with a demanding personality
  • Strong calendar, inbox, and travel management experience
  • Ability to handle confidential information discreetly
  • Experience coordinating events, operations, HR tasks, and IT support
