Our client, an asset management firm, is seeking a highly organized and proactive Executive Assistant to support senior leaders on the investment team within a fast‑paced environment. This role will support three executives with additional coverage for their teams, providing high‑touch support with strong ownership over scheduling, travel, and administrative workflows. Hours are 8:30am-5:00/5:30pm and the role is fully onsite five days per week.

Key Responsibilities:

  • Provide executive‑level support including heavy calendar management, prioritizing meetings across cross‑functional partners, clients, and internal teams
  • Manage domestic and international travel for multiple executives, including detailed itineraries, flights, transportation, and reservation logistics
  • Prepare and reconcile expense reports with accuracy and timeliness
  • Anticipate needs, proactively flag conflicts, and ensure executives stay on schedule in a fast‑moving environment
  • Serve as a point of contact for internal team members, external partners, investors, and cross‑functional groups
  • Support CIO with high‑touch coordination, meeting preparation, and real‑time realignment of schedules during shifting priorities
  • Assist with administrative workflows, project tracking, and operational coordination across the investment team
  • Partner with the EA team and HR to ensure seamless support, communication, and collaboration

Qualifications:

  • 5-10+ years of Executive Assistant experience, ideally supporting investment or financial services professionals
  • Strong communication and interpersonal skills with the ability to work effectively with senior stakeholders
  • Highly organized with exceptional attention to detail and the ability to handle shifting priorities
  • Proactive, resourceful, and able to operate with independence and sound judgment
  • Team‑oriented with a collaborative mindset; experience working in environments where assistants partner closely
  • Tech‑savvy with proficiency in Microsoft Office and comfort learning internal systems
  • BA preferred but not required

Compensation/Benefits:

  • Up to $130K base salary + discretionary bonus
