Our client is seeking a proactive and highly organized Executive Assistant in NYC to support a group of Global Industry Analysts within a fast‑paced investment environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage complex scheduling, travel, and operational workflows for a team. Hours are 8:00am-5:00pm with some flexibility, and the position follows a hybrid schedule with four days in office and one remote day each week.

Key Responsibilities:

  • Manage complex calendars across multiple time zones, coordinating internal and external meetings, offsites, and investor‑related requests
  • Arrange domestic and international travel including flights, accommodations, itineraries, and logistics
  • Prepare and submit expenses accurately and in a timely manner
  • Support meeting preparation including materials, documentation, logistics, and internal coordination
  • Track and log meeting information, maintain CRM‑style systems, and generate reports as needed
  • Conduct occasional research and prepare summaries or documents for team use
  • Provide cross‑coverage to other assistants and support broader firm initiatives
  • Assist with ad hoc projects, operational workflows, and team‑driven initiatives
  • Serve as a warm, service‑oriented, highly responsive presence for a team accustomed to a fast pace

Qualifications:

  • 5+ years of administrative support experience within asset management or financial services
  • Strong communication and interpersonal skills with the ability to interface across seniority levels
  • Highly organized with exceptional attention to detail, accuracy, and time management
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, OneNote) and willingness to learn new tools
  • Experience with CRM systems is a strong plus
  • Ability to prioritize in a deadline‑driven, high‑demand environment
  • Positive attitude, professional demeanor, and strong service orientation
  • Degree highly preferred
  • Comfortable with shifting priorities and last‑minute changes

Compensation/Benefits:

  • Up to $115K-$125K base salary + paid overtime + discretionary bonus + profit sharing
