Our client is seeking a highly experienced, mature Executive Assistant to support the Global Head and a Managing Director within a fast‑paced, highly confidential environment. This role requires exceptional discretion, responsiveness, and the ability to operate as a steady execution partner rather than a relationship‑driven or developmental EA. Hours are generally 8:30am-5:30pm with flexibility for earlier or later starts as needed. The role is fully onsite five days per week, with after‑hours email awareness required for travel and scheduling changes.
Key Responsibilities:
- Provide high‑level administrative support to the Global Head and a Managing Director
- Manage complex, fast‑moving calendars with frequent changes and competing priorities
- Coordinate domestic and international travel, including itineraries, logistics, and real‑time adjustments
- Serve as an internal point person, liaising across departments and functions with professionalism and discretion
- Handle sensitive and confidential information with the highest level of care
- Monitor email after hours (mornings, evenings, weekends) for urgent scheduling or travel needs
- Maintain seamless communication flow between executives and internal stakeholders
- Partner with other Executive Assistants to ensure consistent coverage and execution
Qualifications:
- 7-10+ years of Executive Assistant experience in professional services or similarly demanding corporate environments
- Proven ability to support senior leadership handling highly confidential matters
- Strong organizational skills with excellent attention to detail and follow‑through
- Mature, poised demeanor with sound judgment and flexibility
- Comfortable working with leaders who are direct, task‑focused, and not relationship‑oriented
- Ability to operate independently without a need for mentoring or role expansion
- Proficiency in Microsoft Outlook and Office suite
- Bachelor’s degree preferred
Compensation/Benefits:
- Up to $140K base salary + discretionary bonus + paid overtime
- Stock options
- Medical, dental, and vision coverage starting day one (low employee contribution; multiple plan options)
- Free breakfast, lunch, coffee, and snacks daily with full access to onsite café
- 401(k) with employer match
- Health savings account and commuter benefits
- Fitness reimbursement up to $750/year (ClassPass eligible)
- Fertility, adoption, and family‑planning benefits
- PTO package
