Our client is seeking a highly organized, polished Office Manager to oversee day‑to‑day operations of a busy New York office while also providing executive‑level administrative support. This role is roughly a 50/50 split between Office Management and Executive Assistant responsibilities and is ideal for someone with strong financial services experience who enjoys wearing multiple hats in a smaller, fast‑moving office. Hours are typically 9:00am-5:30pm with some flexibility as needed, and the role is fully onsite five days per week.
Key Responsibilities:
- Oversee all daily office operations for a 20-25 person New York office
- Serve as the face of the office, providing white‑glove service to internal teams, clients, and visitors
- Manage office logistics including supplies, vendors, building management, IT coordination, and facilities requests
- Coordinate internal and external meetings, including conference rooms, catering, AV, and materials
- Plan and execute office events, client meetings, offsites, and social initiatives
- Support onboarding logistics for new hires including workspace setup and office orientation
- Track and process invoices, manage vendor payments, and support expense workflows
- Ensure compliance with information security, privacy, and data protection standards
- Provide executive assistant support to the Head of the New York office and light support to another Partner
- Manage and mentor a Project Coordinator / Team Assistant
- Partner closely with the broader Business Operations group on firmwide initiatives
Qualifications:
- 7-8+ years of Office Management, Business Operations, or EA/OM hybrid experience
- Financial services experience required
- Strong executive presence with comfort supporting senior leadership
- Highly organized with exceptional attention to detail and follow‑through
- Confident communicator with a warm, direct, solutions‑oriented style
- Comfortable working in a smaller office where priorities can shift quickly
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Bachelor’s degree required (flexible for outstanding experience)
Compensation/Benefits:
- Up to $140K base salary + discretionary bonus + paid overtime
