Role Overview
This position is a temporary backfill supporting fleet and operations. The role is critical to maintaining continuity across fleet administration, tracking, and vehicle incident coordination while a permanent hire is recruited. The ideal candidate can step in quickly, operate with minimal oversight, and take full ownership of processes in a fast-moving, multi-location environment.

Key Responsibilities
- Manage day-to-day fleet administration for ~250 vehicles and service trucks
- Coordinate vehicle purchases, auctions, registrations, insurance, and compliance
- Track fleet activity using Excel logs, trackers, and multiple systems/databases
- Ensure tracking devices are ordered, installed, removed, and returned to HQ as needed
- Own end-to-end processes (follow up on missing/incomplete information; drive tasks to completion)
- Coordinate with operations, safety, insurance partners, and external vendors
- Support vehicle incident tracking and documentation
- Maintain accurate records across multiple locations
- Proactively follow up with internal teams when responses or data are delayed
Required Qualifications
- 2-5 years of experience in administrative, operations, logistics, or fleet support
- Proven ability to manage multiple trackers/databases simultaneously
- Strong organizational skills with excellent follow-up discipline
- Ability to take ownership and initiative (not task-only execution)
- Comfortable “chasing down” missing information and reminders
- Proficient in Excel (tracking logs, lists, basic reporting)
- Able to multitask in a detail-heavy, fast-paced role
Preferred Qualifications
- Experience with fleet management, logistics, insurance, or compliance tracking
- Understanding of fleet vehicle registration processes
- Prior experience in fleet or logistics environments
- Exposure to fleet technology systems (Samsara, Wheelz, or similar) is helpful but not required
Reporting & Team Structure
- Reports into national leadership
- Works cross-functionally with operations, safety, and external partners
- Sole person in this role, with hands-on manager support and training
- Safety specialist will assist with onboarding and training
