Our client is seeking a high‑performing Executive Assistant to support Portfolio Managers and teams within a fast‑paced, high‑volume investment group. This role is ideal for someone who thrives in a fast-paced environment, enjoys team‑based support, and brings maturity, precision, and strong judgment to everything they do. Hours are typically 8:00/8:30am-5:30/6:00pm, fully onsite five days per week, with paid overtime built into the compensation structure.
Key Responsibilities:
- Provide administrative and organizational support to Portfolio Managers and their teams
- Coordinate a high volume of internal and external meetings across multiple stakeholders
- Manage complex calendar planning, proactively screening for conflicts and ensuring seamless coordination
- Build relationships with broker sales teams and Investor Relations to plan meetings effectively
- Log corporate access and broker interactions in internal databases
- Arrange domestic and international travel, including flights, hotels, and ground transportation
- Process expense reports accurately and in a timely manner
- Participate in weekly team meetings and stay closely aligned with team priorities
- Develop a working understanding of the covered sector
- Provide EA support and assist with occasional personal requests from Portfolio Managers
- Collaborate closely with corporate access specialists and other Executive Assistants
Qualifications:
- 5+ years of Executive Assistant or senior administrative experience
- Bachelor’s degree required
- Background in financial services or adjacent, high‑intensity environments
- Proven experience supporting teams in a high‑volume setting
- Highly organized, detail‑oriented, and proactive with strong follow‑through
- Mature, professional demeanor with excellent interpersonal skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Compensation/Benefits:
- Up to $105K-$120K base salary + paid overtime + discretionary bonus
