Our client is seeking a high‑performing Executive Assistant to support Portfolio Managers and teams within a fast‑paced, high‑volume investment group. This role is ideal for someone who thrives in a fast-paced environment, enjoys team‑based support, and brings maturity, precision, and strong judgment to everything they do. Hours are typically 8:00/8:30am-5:30/6:00pm, fully onsite five days per week, with paid overtime built into the compensation structure.

Key Responsibilities:

  • Provide administrative and organizational support to Portfolio Managers and their teams
  • Coordinate a high volume of internal and external meetings across multiple stakeholders
  • Manage complex calendar planning, proactively screening for conflicts and ensuring seamless coordination
  • Build relationships with broker sales teams and Investor Relations to plan meetings effectively
  • Log corporate access and broker interactions in internal databases
  • Arrange domestic and international travel, including flights, hotels, and ground transportation
  • Process expense reports accurately and in a timely manner
  • Participate in weekly team meetings and stay closely aligned with team priorities
  • Develop a working understanding of the covered sector
  • Provide EA support and assist with occasional personal requests from Portfolio Managers
  • Collaborate closely with corporate access specialists and other Executive Assistants

Qualifications:

  • 5+ years of Executive Assistant or senior administrative experience
  • Bachelor’s degree required
  • Background in financial services or adjacent, high‑intensity environments
  • Proven experience supporting teams in a high‑volume setting
  • Highly organized, detail‑oriented, and proactive with strong follow‑through
  • Mature, professional demeanor with excellent interpersonal skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint

Compensation/Benefits:
