Our client is seeking an enthusiastic, polished Office Manager / Receptionist to serve as the face of a busy New York office while overseeing day‑to‑day office operations. This is a reception‑forward, operations‑focused role ideal for someone who enjoys being client‑facing, takes pride in maintaining a professional office environment, and thrives in a hands‑on position. The role is fully onsite five days per week, Monday-Friday, 8:00am-5:00pm with a one‑hour lunch break.
Key Responsibilities:
- Serve as the primary front‑of‑house presence, welcoming clients, candidates, and visitors with professionalism and warmth
- Manage the front desk, including answering and routing incoming calls and registering guests with building security
- Open and close the reception area daily and maintain a polished appearance at all times
- Coordinate meeting and conference room scheduling, including catering, beverages, AV setup, and room turnover
- Place catering orders and assist with meeting setup and breakdown
- Oversee day‑to‑day office operations to ensure a clean, organized, and fully functional workplace
- Manage office supply inventory and ordering with cost awareness
- Build and maintain relationships with vendors, service providers, and building management
- Serve as the primary liaison with building management for facilities needs and service requests
- Partner closely with the Facilities Coordinator to support office operations and mailroom coverage
- Assist with office events, team activities, and firmwide initiatives
- Support light facilities and mailroom tasks as backup when needed
- Identify opportunities for process improvements and proactively recommend solutions
Qualifications:
- 3-5+ years of experience in office management, reception, or office coordination
- Prior experience in a professional, client‑facing office environment required
- Financial services experience a plus but not required
- Highly organized with strong attention to detail and follow‑through
- Friendly, confident, and professional demeanor; comfortable being the face of the office
- Strong verbal and written communication skills
- Proactive, resourceful, and able to manage shifting priorities
- Comfortable sitting at a front desk that is physically separate from the main office
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Zoom
- Bachelor’s degree preferred
Compensation/Benefits:
- Up to $90K base salary + discretionary bonus + paid overtime
