Receptionist/Administrative Assistant

Primary Responsibilities:
- Greet and assist visitors, maintaining a polished and professional front-desk presence.
- Manage guest registration with building security and ensure smooth check-in.
- Answer and direct incoming calls using a multi-line phone system.
- Maintain orderly and presentable reception and conference room areas.
- Coordinate mail, packages, and deliveries.
- Stock and tidy office supplies, snacks, and common areas; escalate facilities needs as appropriate.
- Provide administrative support across internal teams, including scheduling and expense reporting.
- Support Executive Assistants with meeting logistics including setup, refreshments, and cleanup.
- Serve as a ‘floater’ to provide backup coverage and administrative support to various teams as needed, ensuring seamless office operations during absences or peak periods.
- Coordinate internal events and catering and facilitate vendor interactions.
- Support ad hoc projects and special requests as part of the broader administrative team.
- Provide back-up coverage for Office Services Assistant, as needed.
Candidate Qualifications: Ideal candidates will have 1-3 years of administrative or front-desk experience, excellent interpersonal and organizational skills, and proficiency in Microsoft Office. The successful candidate will be dependable, team-oriented, and comfortable handling multiple responsibilities in a fast-paced setting.

- A true utility player mentality – flexible, resourceful, and willing to jump in wherever needed across the organization.
- Strong organizational and project management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Exceptional attention to detail and a proactive approach to problem-solving.
- Excellent communication and interpersonal skills; ability to work with senior executives and cross-functional teams.
- Interest in developing broad administrative skills and willingness to take on projects across various functions is highly desirable.
- Proficiency in Microsoft Office and CRM tools is preferred.
- Up to 80K DOE + Paid Overtime + Bonus
