Prestigious strategy consulting firm located in Midtown, Manhattan is seeking to hire a Temporary to Permanent Executive Assistant to directly support their team of Associate Partners on a daily basis, providing support with calendar management, expenses, travel booking, and assisting with the general day-to-day functioning of the office.

AP EAs typically support a group of 10-15 Associate Partners across multiple sectors. This position will start full-time in the office, from 9am-6pm with some flexibility, with hybrid flexibility (2-3 days in) over time once trust is established.

The overall breakdown of the role is typically ~80% Executive Assistant, 20% Office Services or Other, as required. Opportunities to support in other areas of office functioning or firm building to be agreed on a case-by-case basis and additional responsibilities to be considered in annual performance and salary review.

The Core Executive Assistant Role (80%):

  • High volume calendar management
  • Preparing documents, printing
  • Meeting set-up
  • Travel booking (when not related to project travel)
  • Compiling and submitting expenses
  • Minute taking, as required
  • Supporting sector with administration, as required
  • Supporting setup of larger scale corporate events, as required

Office Services and Other (20%):

  • Assist facilities team as needed, when requests are urgent and cannot be fulfilled by Office Manager or AOM
  • Sign for deliveries and send mailings as required
  • Work with facilities team as needed to ensure guest entry to the office
  • Act as the oversight for meeting room booking and set up as it relates to your APs clients or meeting needs
  • Assist facilities as and when required with the preparation for events; ensuring adequate stock supplies and preparing room setup

Qualifications:

  • Experience with Outlook and calendaring for busy individuals/ offices
  • Collaborative style and strong team skills
  • Seen as a reliable team member, with an approachable, collaborative style
  • Confidential, discreet and trustworthy
  • Able to identify process ‘pain’ points and suggest resolutions
  • Able to manage a high volume of requests and meet deadlines
  • Excellent organizational skills, with the ability to multi-task and prioritize
  • Excellent verbal and written communication skills

Compensation/Benefits:

  • Up to 85K base + signing bonus
