Executive Assistant II

Location: Dallas, TX (Onsite)
Schedule: Monday – Friday, 8:30 AM – 5:00 PM

Position Overview

Our client is seeking a highly professional, polished, and proactive Executive Assistant to support senior leadership in a fast-paced, collaborative corporate environment. This is a highly visible role that requires exceptional organizational skills, strong business judgment, and the ability to adapt to a variety of personalities and working styles. The ideal candidate will be a team-oriented professional who thrives in a dynamic office setting and enjoys supporting executives while contributing to company culture and employee engagement initiatives.

Key Responsibilities

  • Provide executive-level administrative support to one or more senior leaders.
  • Manage complex calendars, coordinate schedules, and prioritize competing requests.
  • Schedule meetings and assist with preparation of agendas, presentations, and meeting materials.
  • Monitor executive inboxes and respond to routine communications on behalf of leadership.
  • Coordinate domestic and international travel arrangements and manage expense reporting.
  • Process expenses and support travel administration utilizing tools such as Concur when applicable.
  • Support office operations, including ordering meals, coordinating office needs, and maintaining supplies.
  • Assist with planning and execution of employee engagement activities, department events, and company celebrations.
  • Coordinate logistics for town halls, conferences, holiday events, launch parties, and other large-scale programs.
  • Manage office inventory, including snacks, beverages, office supplies, and branded merchandise.
  • Serve as a resource for general administrative support and team member services.
  • Provide front desk and receptionist coverage during designated periods.
  • Mentor and assist junior administrative team members when needed.

Qualifications

  • Previous Executive Assistant experience supporting senior leadership teams.
  • Advanced calendar management and scheduling experience.
  • Experience coordinating travel and preparing expense reports.
  • Strong event planning, office management, and administrative support background.
  • Experience working in a professional corporate environment.
  • Proficiency with Microsoft Office Suite and Outlook.
  • Experience using Slack strongly preferred.
  • Concur experience preferred.
  • Coupa experience is a plus.
