Our client, global investment firm based in Midtown, Manhattan is looking to hire a Temp Office Administrator to support their team. The position will start in September 2026. Monday – Friday onsite, 8am-5pm. Temp duration is two weeks with potential to extend. Pay $30-$35/hour depending on experience.

The Office Administrator ensures smooth daily operations by overseeing essential services and activities for the New York office. Responsibilities include managing food services, coordinating events, assisting with new hire onboarding, and serving as the tenant liaison for the building. As a member of the office administration team, this role serves as a primary point of contact for employees, visitors and vendors.

Key Responsibilities:

  • Manage relationships with building management, vendors, contractors, and internal teams to address operational issues.
  • Work with other Office Administrators to promote a positive atmosphere through strong office presence.
  • Process maintenance requests and escalate issues to building management as needed.
  • Assist in creating and tracking office budgets, such as expenditures for supplies and work order costs.
  • Ensure meeting rooms are tidy, well stocked and ready to use.
  • Implement security and emergency procedures for the New York office.
  • Manage office space planning, moves, and update seating charts.
  • Help HR with onboarding and offboarding.
  • Greet candidates for Recruiting.
  • Act as the first point of contact for visitors, providing a professional greeting and escorting them to designated areas.

Food Service

  • Place orders and ensure timely delivery of snacks, beverages, and groceries.
  • Handle ordering and storage of goods to maintain quality and control costs.
  • Address ad hoc requests from senior management as needed.
  • Arrange catering for events.
  • Work with porters to ensure pantry spaces- like countertops and cabinets-are clean and properly arranged.
  • Organize and label small wares neatly.
  • Serve as point person for pantry/porters, ensuring professionalism and friendly service.
  • Help manage the daily lunch program; serve as point person for the delivery concierge
  • Work with vendors to ensure appliances and coffee machines stay in good working order.

Events

  • Support in-office recruiting events
  • Plan high-impact internal gatherings, including wine and cheese receptions, seasonal celebrations, and year-end parties.

Required Qualifications:

  • It requires someone who is confident of their own abilities, able to juggle several requests at any one time, and able to remain friendly and approachable when communicating with multiple personalities.
  • Bachelor’s degree level education or equivalent
  • 1+ years’ experience in a similar role
  • Strong proficiency in Microsoft office, specifically Outlook and Excel
  • High level of confidence using software and internal platforms and ability to pick up new systems
  • Experience with Workday for expensing
  • Experience using an issue tracking system or ticketing software
  • Previous roles in finance industry are a bonus
  • Use of floorplan management software in previous roles is a bonus
  • Able to work occasional weekends or events, as needed
