Our client, a non-profit tied to an investment firm, is seeking to hire a Temporary HR Assistant to join their team. The client is based in Midtown, Manhattan. This role starts early September 2026. The position is hybrid, Monday – Thursday onsite, Fridays remote. Standard daily hours are 9am-6pm (with a 1hr unpaid lunch break). Temp duration approximately two months with potential to extend. Pay rate $38- $43/hour depending on experience.
The successful candidate will perform various administrative duties and collaborate with all members of the Human Resources (HR) team. The HR Assistant will support a diverse range of responsibilities related to HR, benefits, recruiting, training, employee engagement, and other departmental initiatives.
This role will have access to highly confidential information and matters. A strong commitment to discretion, professionalism, and accuracy is essential.
Responsibilities
- Provide general administrative support to the Senior VP, Counsel, HR Consultant, and Director of HR, including phone support, calendar management, timekeeper reminders, drafting, filing, scanning and printing documents, and expense preparation.
- Perform administrative tasks such as scheduling meetings, maintaining and creating trackers, updating the HR master calendar, managing calendars for the HR team, scanning documents, and coordinating meetings and training sessions.
- Manage HR record keeping processes, including the creation and maintenance of both digital and hard copy files.
- Create employee hard copy and online folders, including transferring attachments from emails into the appropriate folders (e.g., forms, acknowledgements/statements, jury duty summons).
- Manage labor law poster compliance by maintaining accurate and up to date digital and physical postings.
- Coordinate the ongoing performance review process.
- Track professional development requests and generate an annual report.
- Serve as a backup for the Manager, Benefits and HR Administration and the Recruiting and HR Coordinator.
- Input HR data into the HRIS and various trackers and generate requested reports.
- Assist with visitor registration, reception activities, and coordination for the HR team.
- Monitor HR mailboxes and forward emails, forms, and documentation to the appropriate recipients.
- Support the planning, organization, and execution of employee engagement initiatives, staff events, and other programs as requested.
- Assist with ad hoc projects, research assignments, and long term initiatives as they arise.
- Perform miscellaneous administrative and HR related duties as assigned.
Requirements
- Bachelor’s degree required.
- Minimum of four years of administrative experience, preferably including data entry and record keeping responsibilities.
- Demonstrated ability to handle highly confidential and sensitive information with discretion.
- Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Interest in learning and developing within Human Resources.
- Exceptional organizational skills with strong attention to detail, accuracy, and follow through.
- Strong interpersonal and diplomacy skills with a positive attitude, collaborative work style, and service oriented approach.
- Excellent written and verbal communication skills.
- Efficient and accurate data entry skills.
- Strong time management skills with the ability to meet deadlines.
- Excellent organizational, analytical, and problem solving abilities.
- Experience managing multiple schedules and accommodating varying preferences.
- Ability to work independently and collaboratively within a team environment.
