Our client is seeking a highly organized, proactive Administrative Assistant to support the Operating Partners team within a leading private equity firm. This is a high-volume executive support role supporting senior leadership, including a Managing Director/Operating Partner and additional senior professionals. The ideal candidate is responsive, detail-oriented, and thrives in a fast-paced environment where complex scheduling, international travel coordination, and proactive communication are critical. Hours are 9:00am-5:00pm with flexibility on either end as needed, and the role follows a hybrid 4/1 schedule with Fridays remote, while maintaining flexibility to come onsite when business needs require.
Key Responsibilities:
- Provide executive support to senior Operating Partners and investment professionals
- Manage complex calendars, including virtual meetings, in-person meetings, and executive scheduling across multiple time zones
- Coordinate extensive domestic and international travel arrangements, including visas, accommodations, transportation, and detailed itineraries
- Process and manage expense reports accurately and efficiently
- Assist with roadshow coordination, project support, and administrative initiatives
- Maintain marketing materials and ensure current presentations and documents are properly stocked and distributed
- Support logistics and planning for the firm’s annual meeting and other events
- Maintain accurate databases, records, and administrative systems
- Serve as a key point of contact for internal and external stakeholders
- Coordinate Zoom meetings, conference room logistics, and meeting-related materials
- Anticipate scheduling conflicts and proactively identify solutions
Qualifications:
- 5+ years of Executive Assistant or Administrative Assistant experience
- Bachelor’s degree required
- Financial services, consulting, legal, real estate, media, or other professional services experience preferred
- Experience supporting senior executives in a fast-paced corporate environment
- Extensive calendar management and international travel coordination experience
- Strong Microsoft Office proficiency, including Outlook, Word, Excel, and PowerPoint
- Experience with expense reporting systems preferred
- Excellent written and verbal communication skills
- Exceptional organizational abilities and attention to detail
- Ability to manage multiple priorities simultaneously with urgency and professionalism
- Collaborative mindset with strong relationship-building skills
Compensation/Benefits:
- Up to $120K base salary + paid overtime + discretionary bonus
