Our client, a higher education institution in Wellesley, is seeking a Temporary Administrative Assistant to provide administrative and operational support. This is a 100% onsite opportunity offering 35 hours per week, with an anticipated duration of at least 3 weeks and potential for extension based on business needs. This role is ideal for a detail-oriented administrative professional who enjoys supporting a fast-paced office, interacting with a variety of stakeholders, and ensuring smooth day-to-day operations.

Job Responsibilities:

  • Serve as the primary point of contact for visitors, phone calls, and email inquiries, providing exceptional customer service and support to students, faculty, staff, employers, and guests.
  • Provide comprehensive administrative support, including scheduling, correspondence, document preparation, filing, records management, data entry, and office operations.
  • Manage departmental communications, calendars, databases, and electronic filing systems while maintaining accuracy, organization, and confidentiality.
  • Coordinate meetings, events, travel arrangements, and special projects, ensuring all logistics are planned and executed efficiently.
  • Assist with budget tracking, student employee support, office administration, and other operational initiatives in a collaborative team environment.

Candidate Qualifications:

  • High School Diploma required.
  • 2+ years of administrative support or related experience.
  • Strong customer service skills with a professional and positive demeanor.
  • Excellent verbal and written communication skills, including strong proofreading and editing abilities.
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities.
  • Proficiency in Microsoft Office and the ability to learn new systems and technologies quickly.
  • Strong problem-solving, critical-thinking, and multitasking skills.
  • Ability to handle sensitive information and maintain a high degree of confidentiality.
  • Experience supporting diverse populations and working collaboratively across teams.
  • Basic supervisory experience and prior experience within a higher education environment are preferred.
  • Valid U.S. Driver’s License required.
  • Occasional off-hours work may be required to support events and departmental initiatives.
