Our client is seeking a highly organized, proactive Executive Assistant to support the Global Chief Investment Officer and senior leadership team within a leading financial services organization. This is a high-level executive support role requiring exceptional judgment, proactive calendar management, and the ability to serve as a strategic partner to a global executive. The ideal candidate is an experienced career Executive Assistant who excels at managing priorities, creating structure, and helping executives stay focused and organized in a fast-paced environment. Hours are generally 8:30am-5:30pm with occasional flexibility to monitor urgent matters after hours, and the role follows a hybrid schedule with three days onsite.

Key Responsibilities:

  • Provide dedicated executive support to the Global Chief Investment Officer
  • Provide light support to additional senior leaders as needed
  • Manage highly complex calendars, scheduling priorities, and executive time management
  • Coordinate domestic and international travel arrangements, itineraries, and logistics
  • Process expense reports and travel reconciliations
  • Monitor executive communications and help prioritize requests and meetings
  • Prepare meeting materials, briefing documents, presentations, and executive communications
  • Coordinate leadership meetings, events, catering, and hospitality arrangements
  • Track action items, meeting follow-ups, and special projects
  • Serve as a liaison between executive leadership and internal/external stakeholders
  • Support office operations activities including vendor coordination, catering, and team events

Qualifications:

  • 7-10+ years of Executive Assistant experience supporting VP-level leaders or above
  • Experience supporting C-suite executives strongly preferred
  • Financial services, investment management, consulting, or professional services experience preferred
  • Strong executive calendar management and global travel coordination expertise
  • Proven ability to manage up and proactively support senior leaders
  • Excellent written and verbal communication skills
  • Advanced Microsoft Office proficiency, including Outlook, PowerPoint, Excel, Teams, and Word
  • Strong organizational skills with exceptional attention to detail
  • Ability to handle competing priorities and shifting deadlines
  • Associate’s degree or equivalent experience required; additional education is a plus
