Our client is seeking a highly organized, proactive Executive Assistant to support senior leadership for a leading global alternative investment firm. This is a high-volume executive support role providing administrative support to several senior Business Managers and key stakeholders in a fast-paced, dynamic environment. The ideal candidate is adaptable, confident, and thrives managing shifting priorities, complex scheduling, travel coordination, and team logistics while partnering closely with an established administrative team. Hours are generally 8:00/8:30am-5:30/6:00pm with flexibility as needed, and the role is fully onsite five days per week.

Key Responsibilities:

  • Provide executive support to senior Business Managers and leadership stakeholders within the Business Equities team
  • Manage complex calendars, meeting scheduling, and conference room coordination
  • Coordinate domestic and international travel arrangements and logistics
  • Process expense reports and administrative workflows
  • Manage frequent last-minute scheduling changes and shifting priorities
  • Prepare PowerPoint presentations, meeting materials, and supporting documents
  • Coordinate team meetings, lunches, and internal events
  • Partner closely with fellow Executive Assistants to provide seamless team support
  • Serve as a liaison between executives, internal teams, and external contacts
  • Maintain accurate records, schedules, and administrative systems
  • Assist with special projects and team initiatives as needed

Qualifications:

  • 4+ years of Executive Assistant experience
  • Financial services experience strongly preferred
  • Bachelor’s degree highly preferred
  • Strong calendar management and travel coordination expertise
  • Experience supporting multiple senior stakeholders in a fast-paced environment
  • Advanced PowerPoint proficiency required
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication abilities
  • Ability to remain flexible and composed amid changing priorities
  • Team-oriented mindset with strong partnership skills
  • Ability to thrive in a high-performance, fast-moving environment
