A higher education institution is seeking an Executive Assistant to provide administrative and operational support to the President and Board of Trustees. Responsibilities:
- Manage the President’s complex calendar, coordinate meetings and travel arrangements, prioritize scheduling needs, and prepare briefing materials to support executive decision-making
- Support the Board of Trustees by coordinating quarterly Board and committee meetings, preparing agendas and meeting materials, recording minutes, and serving as the primary point of contact for Board members
- Draft, edit, and proofread correspondence, reports, presentations, and other communications on behalf of the President while ensuring accuracy and professionalism
- Serve as a key liaison between the President’s Office, senior leadership, trustees, faculty, staff, students, community partners, and external stakeholders
- Coordinate logistics and planning for institutional events, including Board functions, commencement activities, and special initiatives in collaboration with campus departments and vendors
- Maintain confidential records, oversee document retention practices, process expenses and invoices, monitor office operations, and ensure compliance with institutional policies and governance requirements
Requirements:
- Bachelor’s degree preferred; equivalent combination of education and relevant administrative experience will be considered
- Minimum of five years of progressively responsible executive or administrative support experience, preferably within higher education or a complex organizational environment
- Advanced proficiency in Microsoft Office Suite, particularly Outlook calendar management, Word, Excel, and PowerPoint
- Exceptional written, verbal, and interpersonal communication skills with the ability to interact effectively with individuals at all organizational levels
- Demonstrated ability to manage multiple priorities, meet deadlines, exercise sound judgment, and adapt to changing demands in a fast-paced executive environment
- Proven ability to handle highly confidential information with discretion, professionalism, emotional intelligence, and a strong commitment to customer service and relationship building
