Our client, a leading utilities and energy located in the Gramercy Park area, is seeking a Temporary Administrative Coordinator to support two highly technical engineering teams. This position will work closely with management on a variety of administrative, project tracking, invoicing, timecard, and reporting responsibilities, with a heavy focus on Excel, document formatting, and data management. This is a hybrid position with 3 days on-site and 2 days working from home. The contract will go on for about 6 months with potential to extend and hours are 8am-4pm. Compensation is up to $35/hour.

Responsibilities:

  • Provide administrative support to the High Tension and SCADA engineering teams
  • Support approximately 14 engineers and managers across both groups
  • Manage invoicing and related documentation
  • Track employee timecards and project hours
  • Create, edit, and format complex Word documents and PDFs
  • Maintain project tracking spreadsheets and reporting tools
  • Utilize advanced Excel functions, formulas, tables, and data management techniques
  • Coordinate and organize project-related information
  • Assist with research and information gathering as needed
  • Partner closely with the team to identify and implement additional administrative support functions
  • Maintain accurate records and documentation across multiple ongoing projects

Qualifications:

  • Associate or bachelor’s degree required
  • Minimum 2 years of administrative experience required; 3+ years preferred
  • Advanced Excel skills, including formulas, tables, sorting, filtering, and reporting
  • Strong proficiency with Microsoft Word and PDF editing/formatting
  • Excellent organizational and project-tracking abilities
  • Detail-oriented with strong follow-through
  • Comfortable learning new concepts and industry terminology
  • Strong communication and problem-solving skills
  • Ability to work independently in a developing role
  • Engineering, utility, construction, infrastructure, or technical industry experience strongly preferred
  • Demonstrated curiosity, learning agility, and adaptability
  • Experience supporting managers and technical teams is a plus
