Our client, a leading healthcare organization, is seeking a Temporary Executive Assistant to support the Chief of Staff to the CEO in Boston, MA. This onsite opportunity offers $40/hour, follows an 8:30 AM-5:00 PM schedule, and is expected to last approximately 2 months while a permanent search is conducted. This highly visible role provides executive support within a fast-paced Executive Office environment, with a primary focus on complex calendaring, meeting coordination, stakeholder communication, and administrative support for senior leadership. Candidates must have significant executive support experience and the ability to thrive in a dynamic, high-profile setting.
Key Responsibilities
- Provide comprehensive executive support to senior leadership, with a strong emphasis on complex calendar management and scheduling.
- Coordinate meetings across multiple stakeholders, resolving scheduling conflicts and managing shifting priorities.
- Arrange travel, process expense reports, and support day-to-day executive office operations.
- Coordinate meeting logistics including conference rooms, technology, agendas, printed materials, and catering.
- Serve as a liaison between executives, internal teams, external partners, and administrative professionals.
- Handle inquiries, communications, and routine matters independently while exercising sound judgment and discretion.
- Provide backup administrative support to other executive assistants and assist with special projects as needed.
- Support a fast-paced executive environment by anticipating needs, prioritizing requests, and maintaining confidentiality.
Candidate Qualifications
- 5+ years of Executive Assistant or Administrative Assistant experience supporting senior-level executives in a corporate environment.
- Extensive experience managing complex Outlook calendars and coordinating schedules across multiple stakeholders.
- Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, OneDrive, and SharePoint.
- Experience with Concur or similar expense reporting systems preferred.
- Excellent written and verbal communication skills with strong attention to detail.
- Professional maturity, executive presence, and the ability to interact confidently with individuals at all levels.
- Demonstrated ability to manage competing priorities, navigate ambiguity, and remain organized in a fast-paced environment.
- Healthcare industry experience is preferred, and experience supporting a Chief of Staff or Executive Office environment is highly desirable.
- Ability to handle highly sensitive and confidential information with discretion and professionalism.
