Our client is seeking a highly organized, proactive Executive Assistant to support the Founder & Chief Investment Officer and broader investment team of a boutique management firm. This is a blended Executive Assistant, Personal Assistant, and office support role that goes beyond traditional calendar management and travel coordination. The ideal candidate is service-oriented, resourceful, and thrives in a collaborative environment where anticipating needs, creating exceptional experiences, and supporting both business and personal priorities are equally important. Hours are generally 8:15am-5:30pm with flexibility as needed, and the role offers a unique balance of in-office collaboration and remote flexibility.
Key Responsibilities:
- Provide executive support to the Founder/CIO and select members of the investment team
- Manage calendars, meeting coordination, and scheduling priorities
- Coordinate domestic and international travel arrangements, detailed itineraries, and logistics
- Handle expense reporting, receipt management, and administrative documentation
- Support personal requests including reservations, gifting, family coordination, travel planning, and household-related logistics
- Assist with office operations and serve as a backup to the Workplace/Office Operations Generalist
- Welcome clients and visitors while helping coordinate hospitality and meeting logistics
- Maintain investor interaction records and administrative databases
- Support meeting preparation, conference tracking, research distribution, and investment team workflows
- Partner with firm leadership on holiday parties, employee events, team-building initiatives, and employee experience programs
- Assist with sourcing vendors, managing deliveries, arranging catering, and coordinating time-sensitive requests
- Identify opportunities to improve administrative processes and leverage technology and AI tools where appropriate
Qualifications:
- Bachelor’s degree preferred
- Experience supporting founders, C-suite executives, senior investment professionals, or high-net-worth individuals preferred
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication abilities
- Strong executive presence and client-facing professionalism
- Ability to balance both business and personal support responsibilities
- Proactive mindset with strong judgment and problem-solving abilities
- Proficiency with Microsoft Office, Outlook, PowerPoint, Teams, Zoom, and Adobe Acrobat
- Comfortable learning new systems and utilizing AI-enabled productivity tools
- Service-oriented personality with a genuine desire to help others succeed
Compensation/Benefits:
- $90K-$125K base salary + discretionary annual bonus
