Position Summary

Our client is seeking a highly organized, proactive, and customer-focused Office Administrator to support daily office operations and administrative functions. This individual will play a key role in creating an efficient and welcoming workplace environment while providing administrative support to leadership and assisting with employee engagement initiatives.

Key Responsibilities

Office Operations & Facilities

  • Serve as the primary point of contact for visitors, incoming calls, mail, and office-related inquiries.
  • Maintain day-to-day office operations and ensure a professional, organized workplace.
  • Coordinate office supply ordering and inventory management.
  • Partner with vendors and building management to address facility needs and office maintenance requests.
  • Support workspace management and assist employees with office logistics.
  • Coordinate meeting rooms, office events, and other operational activities.

Employee Engagement & Culture

  • Assist with planning and coordinating employee events, team-building activities, and recognition programs.
  • Support engagement initiatives that promote a positive workplace culture.
  • Maintain calendars and schedules for company events and activities.
  • Coordinate vendors, budgets, and logistics related to employee events.

Administrative & Executive Support

  • Provide administrative support to leadership and key stakeholders.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare expense reports, reimbursement requests, and other administrative documentation.
  • Organize meeting logistics, materials, and communications.
  • Assist with special projects and additional administrative tasks as assigned.

Special Projects

  • Support operational initiatives and department projects.
  • Assist with process improvements and project coordination efforts.
  • Manage multiple priorities and deadlines in a fast-paced environment.

Qualifications

  • 2-4 years of experience in office administration, executive support, office management, operations, or a related field.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and adapt to changing business needs.
  • Strong interpersonal skills and a customer-service mindset.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Comfortable working independently while collaborating effectively with a team.
  • Experience coordinating meetings, events, vendors, or office operations is preferred.

Preferred Experience

  • Office management or workplace services experience.
  • Executive or administrative support experience.
  • Event planning or employee engagement experience.
  • Vendor management and facilities coordination.
  • Experience supporting multiple stakeholders in a professional office environment.
