Our client, a start-up venture capital firm located in SoHo, Manhattan is seeking to hire a Temporary Executive Assistant/Office Manager to join their team! This position requires Tues-Thurs on-site weekly from 9:30am-6:30pm with reachability after hours as needed. Pay rate up to $60/hour.
This is a fast-paced, entrepreneurial environment that operates as a small, highly collaborative team with a high degree of ownership and responsibility, and are looking for someone who thrives in that type of environment. The role will be approximately 80% supporting the Founder/Managing Partner and 20% supporting another Partner, while also overseeing day-to-day office operations.
This is a high-trust, high-ownership role for someone who is proactive, self-sufficient, resourceful, and exceptionally organized. The right person will be comfortable operating at a fast pace, managing constantly changing priorities, and taking initiative without waiting for direction. They should naturally anticipate what needs to happen next, exercise strong judgment, and take pride in making sure nothing falls through the cracks.
The primary focus will be complex calendar management, travel coordination, and inbox/email management, while also helping manage executive priorities, meeting preparation, special projects, personal matters, and office operations.
Responsibilities include:
- Own complex and constantly changing calendars, proactively prioritizing meetings, resolving conflicts, and anticipating needs
- Manage domestic and international travel, including flights, hotels, transportation, detailed itineraries, dining reservations, and last-minute changes
- Manage and prioritize inboxes; draft emails, introductions, follow-ups, and other correspondence on behalf of the Founder/Managing Partner
- Prepare meeting briefings and relevant background/context, while tracking important relationships, follow-ups, and activity across the VC/startup ecosystem
- Manage executive priorities and action items to ensure deadlines and follow-ups do not fall through the cracks
- Execute special projects, internal workstreams, trackers, and processes on behalf of the Founder/Managing Partner
- Plan and coordinate firm events, including the AGM, investor/LP events, dinners, industry events, and team activities
- Own day-to-day office management, including cleaners, maintenance, vendors, supplies, deliveries, repairs, guest experience, and ensuring the office is organized and running smoothly
- Provide personal support as needed, including appointments, travel, health insurance/medical administration, reservations, and other personal logistics
- Prepare expense reports and handle other administrative needs as required
Qualifications:
- 5+ years of experience supporting a Founder, C-level executive, or similarly demanding principal preferred
- Exceptional organizational, calendar, and time-management skills
- Excellent written and verbal communication skills
- Proactive, resourceful problem solver with strong judgment and the ability to anticipate needs
- Strong project-management skills and meticulous attention to detail
- Comfortable juggling professional, personal, and office-related priorities in a fastmoving environment
- Collaborative team player with a “no task is too big or too small” mentality
- High level of discretion and confidentiality
- Proficiency in Google Workspace and Microsoft Office
- Bachelor’s degree preferred
