A company in the food service industry is seeking an Executive Assistant to provide comprehensive administrative support to the CEO and President. This position plays a pivotal role in keeping executive operations organized and on track through complex calendar management, travel and itinerary coordination, meeting support, and internal and external communications. Responsibilities:
- Manage complex calendars for two senior executives across multiple time zones, coordinating client calls, internal meetings, site visits, and other business commitments.
- Coordinate detailed domestic travel arrangements, including flights, lodging, ground transportation, itineraries, and travel to plant locations throughout North America.
- Build, maintain, and update Excel spreadsheets, including asset lists, buyer contact lists, deal trackers, project timelines, and other engagement-related reporting.
- Organize and maintain deal and auction files, including equipment photos, supporting documentation, data-room materials, contact information, and confidential transaction records.
- Prepare and format proposals, presentations, correspondence, and marketing materials using Microsoft Office and AI-based productivity tools as appropriate.
- Serve as a professional point of contact for clients, buyers, industry partners, and other external parties, while drafting correspondence and responding to or routing inquiries appropriately.
- Track project deliverables and deadlines, coordinate trade shows and industry events, maintain contact databases and filing systems, and provide administrative support for additional executive and board-related commitments.
Requirements:
- 3+ years of experience providing administrative or executive-level support, preferably supporting multiple senior executives.
- Advanced proficiency in Microsoft Excel, with experience building, sorting, formatting, and maintaining complex spreadsheets, lists, and trackers.
- Strong proficiency in Microsoft Word and PowerPoint, with the ability to develop polished proposals, presentations, correspondence, and marketing materials.
- Excellent written and verbal communication, organizational, proofreading, and time-management skills, with the ability to prioritize multiple responsibilities and handle confidential information with discretion.
- Comfortable utilizing AI productivity tools such as Microsoft Copilot, ChatGPT, or Claude to support routine administrative tasks, with sound judgment regarding accuracy and confidential information; a bachelor’s degree or equivalent professional experience is preferred.
