This Administrative Assistant II opportunity offers $25.25/hour for a 37.5-hour workweek (9:00 AM to 5:00 PM with a lunch break) in Cambridge, MA. This is a fully onsite position supporting a higher education/student services environment. The role is highly student-facing and involves providing administrative support to approximately five senior staff members, managing calendars, assisting students with resources and scheduling, maintaining confidential records, and supporting daily office operations in a fast-paced setting.

Responsibilities:

  • Serve as the first point of contact for students, visitors, and staff
  • Answer phones, emails, and greet visitors professionally
  • Assess student needs and connect them with appropriate resources or staff members
  • Schedule appointments and manage multiple complex calendars
  • Support approximately five senior staff members
  • Maintain confidential student records, databases, and documentation
  • Coordinate meetings, office operations, and administrative processes
  • Assist with communications, newsletters, social media, and outreach efforts
  • Support events, workshops, and student programs
  • Provide basic technology support and troubleshoot routine system issues
  • Assist with special projects and process improvement initiatives

Qualifications:

  • High school diploma or equivalent required
  • Minimum 3 years of administrative, customer service, office support, or related experience
  • Strong customer service and interpersonal skills
  • Excellent verbal and written communication abilities
  • Strong organizational skills and attention to detail
  • Experience managing calendars and coordinating schedules
  • Ability to handle confidential information with discretion
  • Ability to remain calm and professional in stressful or sensitive situations
  • Strong technology skills and ability to learn new systems quickly
  • Demonstrated flexibility, initiative, and follow-through
  • Bachelor’s degree preferred
  • Experience in higher education, student services, advising, healthcare, or other service-oriented environments preferred
  • Experience supporting multiple leaders or senior staff preferred
  • Experience with records management systems, databases, events, or communications preferred
