Our client, a higher education institution, is seeking a part-time Administrative Coordinator to support senior leadership within a busy athletics and recreation department. This is a 5+ month temporary position covering a leave, paying $28/hour, and working Monday through Friday, 9:00 AM-3:00 PM. The role is 100% onsite in Boston, MA, and is ideal for an experienced administrative professional who thrives in a fast-paced environment and can independently manage complex schedules, travel, and competing priorities. Job Responsibilities

  • Provide day-to-day administrative and operational support for the department and senior leadership.
  • Manage complex executive calendars, schedule high-level meetings, and proactively resolve scheduling conflicts.
  • Coordinate travel arrangements, itineraries, event details, and expense reconciliation.
  • Prepare meeting agendas, notes, reports, communications, and other materials.
  • Support special projects, committee work, research initiatives, and department events.
  • Help oversee office operations, reception coverage, guest protocols, work orders, and general office procedures.
  • Serve as a liaison between senior leadership and the broader department to ensure effective communication.

Candidate Qualifications

  • Minimum 5 years of administrative experience required.
  • Previous experience working in higher education required.
  • Bachelor’s degree required.
  • Strong experience with complex calendar management and travel coordination.
  • Proven ability to work independently in a fast-paced, high-volume environment with minimal supervision.
  • Excellent organizational, communication, interpersonal, and customer service skills.
  • Strong attention to detail with the ability to prioritize multiple competing deadlines.
  • Ability to exercise discretion and maintain confidentiality when handling sensitive information.
