Senior Executive Operations Coordinator
The Senior Executive Operations Coordinator serves as a trusted partner to senior leadership, providing high-level executive support across complex business and personal priorities. This role is responsible for managing executive calendars, coordinating domestic and international travel, preparing meeting materials and executive briefings, and anticipating needs before they arise.
Key responsibilities include:
- Manage complex executive calendars, prioritizing meetings and protecting leadership’s time against strategic business objectives.
- Coordinate domestic and international travel, detailed itineraries, executive briefing materials, and meeting logistics.
- Anticipate scheduling conflicts, travel disruptions, and operational challenges, proactively developing solutions and contingency plans.
- Serve as a liaison between executives, internal teams, investors, board members, clients, vendors, and external stakeholders.
- Track action items, follow-ups, and critical deadlines to ensure execution and accountability.
- Support board meetings, executive events, offsites, investor meetings, and special projects.
- Oversee day-to-day office operations, vendor relationships, workplace services, facilities coordination, and hospitality functions.
- Manage confidential business and personal information with the highest level of discretion and professionalism.
- Continuously improve executive support processes, communication workflows, and organizational efficiency.
Qualifications
- 5+ years of executive support, executive operations, office management, family office, or similar high-level coordination experience.
- Proven experience supporting C-suite executives, founders, partners, or other senior leaders with demanding schedules.
- Exceptional organizational, communication, problem-solving, and relationship management skills.
- Strong business judgment, attention to detail, and ability to anticipate needs.
- Advanced proficiency with Microsoft Office, Outlook, Teams, and related business technologies.
- Ability to thrive in a fast-paced, highly dynamic environment while maintaining confidentiality and professionalism.
