Executive Assistant to $130K – Support a Fast Moving Team!

Our client, a boutique private equity firm, is seeking an Executive Assistant with industry experience. In this role, you will manage complex calendars, coordinate heavy travel, and handle expense workflows in a fast-paced, deal-drive environment. The ideal candidate brings prior experience support investment professionals and can confidently anticipate needs while operating with autonomy and sound judgement.

Position Details:

  • Responsibilities include managing multiple high‑volume calendars for several executives with shifting priorities; coordinating frequent domestic and international travel for road‑heavy leaders; processing expenses and maintaining accuracy across reimbursement workflows; acting as a trusted point of contact while executives are traveling or off‑hours issues arise; partnering closely with another Executive Assistant to divide coverage and ensure seamless support; proactively identifying conflicts or gaps and resolving issues before they escalate; and maintaining discretion while handling sensitive business matters.
  • The ideal candidate possesses 5+ years of executive assistant experience within private equity, venture capital, or investment‑related environments; demonstrated success supporting multiple professionals simultaneously across varying seniority levels; strong Outlook and Excel proficiency with the ability to move quickly and stay highly organized; confidence communicating with senior leaders and pushing back when necessary; a proactive, anticipatory mindset suited to fast‑paced deal teams; and the flexibility to remain connected outside standard hours when urgent needs arise.
