Responsibilities

  • Process weekly multi-state payroll accurately and timely for both hourly and salaried employees in compliance with federal, state, and local regulations.
  • Import payroll data, verify pay information, resolve discrepancies, and ensure payroll is completed efficiently each pay cycle.
  • Maintain employee payroll records, including new hires, terminations, compensation changes, tax withholding updates, direct deposits, benefit deductions, and garnishments.
  • Ensure compliance with payroll-related regulations, including child support orders, wage garnishments, and tax requirements.
  • Prepare and post payroll-related journal entries and assist with general ledger reconciliations.
  • Process weekly disbursements related to employee benefits, including 401(k), HSA, and other benefit plans.
  • Assist with year-end payroll activities, including reconciliations and audit support.
  • Support COBRA administration.
  • Partner with branch and department leaders to investigate and resolve payroll questions and discrepancies.
  • Provide cross-functional support to Accounting and Human Resources teams, assisting with reconciliations, journal entries, benefits administration, and special projects as needed.
  • Serve as a collaborative team member, providing administrative and operational support during non-peak payroll periods.

Requirements

  • 2-5 years of payroll processing experience.
  • Experience processing multi-state payroll.
  • Strong understanding of payroll laws, tax regulations, garnishments, and payroll compliance requirements.
  • Experience handling employee payroll changes, deductions, benefits, and payroll-related inquiries.
  • Ability to manage high-volume payroll processing with strong attention to detail and accuracy.
  • Experience preparing payroll-related journal entries and assisting with account reconciliations.
  • Proficiency with payroll systems and Microsoft Excel.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to maintain confidentiality when handling sensitive employee and payroll information.
  • Team-oriented mindset with a willingness to assist Human Resources and Accounting departments as needed.
