Reputable Regional law firm is seeking a strong, high-level Legal Support Manager/Supervisor to join their team.
MUST HAVES:
- 5+ years’ experience as a Legal Assistant Manager in a law firm
- Strong understanding of Legal Assistant workflows
- Bachelors Degree preferred
- Great communication skills
This position is responsible for planning, organizing, and supervising the work of the team. The Legal Support Manager is also responsible for training, coaching, mentoring, and leading the LAA performance review process.
Responsibilities:
- Supervise and direct workflow for the LAAs
- Ensure legal documents produced by team members are accurate and of high quality
- Train new LAAs on general office policies and specific practice group procedures
- Evaluate LAA performance and provide ongoing coaching and mentoring to develop a highly skilled and effective team
- Develop and manage department and work schedules approve PTO requests and overtime, review timecards, and ensure adequate coverage
- Answer inquiries, resolve complaints, and escalate issues as needed
- Develop, make recommendations, document, and implement improved operating procedures for the team of LAAs
- Engage daily with LAAs to develop trusting relationships
- Manage Attorney/Assistant assignments, re-assignments, and new hire assignments in collaboration with HR and Operations Director
- Serve as Overflow Coordinator and manage coverage across various office locations
- Participate in creating agendas and content for quarterly Staff Meetings
- Identify and recommend beneficial training sessions for Assistants in collaboration with Firm Administration
- Maintain an active awareness of firm environment, culture, and structure to support decision making
- Participate in the recruiting, hiring, and on-boarding process for the LAAs
- Collaborate with HR Director on the performance evaluation process including on-going check-ins and obtaining and reviewing attorney evaluation
- Collaborate with HR Director on performance-related concerns
- Coordinate preparation of LAA orientation schedules
- Develop and monitor baseline skill sets required for LAAs
- Conduct LAA billing training for new hires and current team members as needed
- Collaborate with Accounting Team to establish best practices and efficiencies for the billing process
- Other duties as assigned by the Chief Operating Officer, HR Director and Operations Director
Qualifications and Required Skills:
- A minimum of five years of experience managing Legal Administrative Assistant teams in a legal environment
- A bachelor’s degree is preferred
- Prior experience as a Legal Administrative Assistant
- Demonstrated effective management skills
- Unbiased management style with strong verbal and written communication skills
- Proven ability to drive change and implement new processes
- Leads by example with the ability to build trust and develop strong positive relationships
- Strong technical skills including experience with document management systems and legal accounting software relative to LAA job duties
- Strong Microsoft Office skills
- Ability to collaborate with other Administrative Departments and work toward shared visions and goals
- Possess drive and enthusiasm to motivate and engage a growing team and instill a sense of community
- Excellent attention to detail
- Ability to maintain the highest level of confidentiality
