Job Summary
We are seeking a Payroll Specialist to manage weekly payroll processing and related duties. This role supports employees across multiple programs and funding sources, ensuring accurate labor allocation, compliance with nonprofit regulations, and timely payroll processing. The ideal candidate is organized, service‑focused, and experienced in nonprofit payroll operations.
Key Responsibilities
- Process weekly payroll for exempt and non-exempt employees, including new hires, terminations, and pay changes.
- Review and validate employee timesheets, approvals, and earning codes.
- Allocate payroll expenses to grants, programs, and funding sources; support labor distribution and adjustments.
- Ensure compliance with federal, state, and local wage-and-hour laws and nonprofit-specific requirements.
- Maintain employee payroll records, deductions, benefits, garnishments, and tax withholdings.
- Prepare payroll journal entries and support GL reconciliations for payroll-related accounts.
- Assist with payroll tax filings and year-end processes including W-2s and ACA reporting.
- Provide timely support to employees regarding pay, deductions, and payroll policies.
- Maintain payroll calendars, documentation, and process improvements for efficiency and accuracy.
Qualifications
- 2-4+ years of payroll experience; nonprofit payroll highly preferred.
- Experience processing weekly payroll and multi-state payroll.
- Knowledge of FLSA, labor laws, payroll taxes, and nonprofit grant allocation practices.
- Familiarity with HRIS/payroll systems.
- Strong Excel skills (VLOOKUP/XLOOKUP, pivot tables).
- High attention to detail, confidentiality, and ability to meet tight weekly deadlines.
