Position: Senior Administrative Assistant / Executive Assistant

Our client is seeking a polished, experienced administrative professional to support the Investment Management Development team. This individual will manage complex calendars, coordinate internal and external engagements, track relationship activity, and handle a broad range of operational and project‑based responsibilities. The role requires exceptional discretion, strong judgment, and the ability to thrive in a fast‑moving environment. Collaboration with other administrative partners and cross‑functional teams is a key component of the position.

Key Responsibilities

  • Executive Support – Provide high‑level administrative support to a senior leader, with additional assistance to team members as needed across events, travel, team operations, and project work.

  • Calendar Management – Oversee multiple demanding calendars across time zones, ensuring seamless scheduling and prioritization.

  • Meeting & Event Coordination – Plan and prepare for internal and external meetings, team sessions, and related materials.

  • Communication Tracking – Summarize key messages and action items from calls or voicemails and ensure timely follow‑through, including CRM updates.

  • Deadline & Workflow Oversight – Maintain accountability for internal timelines, deliverables, and data accuracy across reports, notes, and operational processes.

  • Process & Systems Support – Assist in developing and implementing new operational systems and tools.

  • Cross‑Team Collaboration – Serve as a liaison between internal groups to support shared initiatives and information flow.

  • CRM Management – Maintain accurate records of contacts, introductions, and relationship activity.

  • Research & Prospecting – Build and maintain lists of potential contacts or prospects to support strategic travel and outreach.

  • Expense Processing – Prepare and submit expense reports accurately and on time.

Qualifications

  • 3+ years of administrative experience supporting multiple leaders or stakeholders.

  • Ability to operate effectively in a fast‑paced, evolving environment.

  • Comfortable working within a shared‑support model.

  • Exceptional organization, attention to detail, and communication skills.

  • Strong time‑management abilities and comfort handling competing priorities.

  • Positive, proactive, and eager to take initiative.

  • Independent thinker with strong problem‑solving instincts.

  • High emotional intelligence and professionalism.

  • Advanced proficiency in Outlook.

  • Experience with CRM platforms (e.g., Salesforce) is beneficial.
