Executive Assistant
Location: San Francisco
Compensation: $100,000-$125,000 base salary
Schedule: Onsite 2+ days, with after‑hours responsiveness as needed
A leading global advisory firm is seeking an Executive Assistant to support several senior leaders-including Partners, Managing Directors, and mid‑level team members-within its Technology practice. This role requires a highly organized, polished, and proactive professional who can manage competing priorities in a fast‑paced environment. Strong communication skills, excellent judgment, and the ability to stay composed under pressure are essential. Prior experience in financial services is helpful but not required.
Key Responsibilities
- Manage a high volume of meeting requests, including frequent last‑minute calendar adjustments
- Respond promptly to a large volume of emails and internal requests
- Coordinate domestic and international travel, including air, hotel, and ground transportation
- Prepare conference rooms for onsite client meetings, including A/V setup, guest reception, and catering
- Plan team events, client dinners, holiday gatherings, and other internal/external functions
- Support event logistics for major industry conferences, including the annual healthcare conference
- Prepare and submit monthly expense reports using the firm’s expense management system
- Provide backup coverage for other Assistants during absences
- Attend strategic meetings, take notes, and translate key insights into executive‑ready presentation materials
- Support recruiting coordination, including scheduling interviews and communicating with candidates
- Provide timely updates on assigned tasks and ensure follow‑through
- Interact professionally with clients, guests, and internal stakeholders at all levels
- Handle general administrative tasks such as answering calls, scanning documents, and maintaining contact lists
- Maintain availability and responsiveness outside core business hours when needed
Preferred Qualifications
- Minimum 5+ years of experience supporting senior leaders with a strong performance record
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- High comfort level with technology, including emerging tools and AI
- Proven ability to manage demanding calendars and complex travel
- Experience handling confidential information with discretion
- Strong attention to detail and ability to manage multiple priorities under tight deadlines
- Team‑oriented mindset with the ability to collaborate across groups
- Resourceful, organized, and proactive self‑starter with excellent problem‑solving skills
- Outstanding written and verbal communication abilities
- Ability to follow established processes and governance requirements
